What Are the Most Common Tasks in ABM Service?
This page lists the tasks office staff do most often in ABM Service, grouped by what you are trying to do. Each task has a one-sentence answer saying where to go, and a link to the page with the full steps. The main screens, Home, Customers, Calls and Scheduler, are in the menu: Menu on the Home screen, or Navigation menu at the top of the filter rail on the other main screens.
How do I sign in, get around and sign out of ABM Service?
In a browser, sign in to ABM Service with your ABM name and password on the sign-in page; the menu takes you between the main screens, and Sign out is at the foot of the menu under your name.
- Sign in — open your company's ABM Service address, choose your name in Who you are, type your ABM password and select Sign in. See How to Sign In to ABM Service in a Browser.
- Type your authenticator code — after your password, type the six digits your authenticator app shows into Authenticator code and select Sign in. See How to Sign In with a Code from Your Authenticator App.
- Switch to dark mode or change the colours — open the menu and choose a colourway and Light, Dark or System under Appearance. See How to Change the Colours and Switch Between Light and Dark Mode.
- Sign out — open the menu and select Sign out on the row under your name; if anything is unsaved, choose Keep working or Sign out anyway. See How to Sign Out of ABM Service.
How do I find a call in ABM Service?
Find a call on the Calls list, either with the Search calls box on its toolbar or by narrowing the list with the filter rail on the left of the Calls list.
- Search for a call — type part of its number, reference, comment, details or resolution into Search calls on the Calls list and press Enter; three or more characters of a call number also offer that call from any date. See How to Search for a Call.
- See closed or cancelled calls — tick Closed or Cancelled under Call Status in the Calls list's filter rail, or remove the Call Status chip, because the list starts with only Open and Active ticked. See How to Filter Calls by Type, Status, Action Status and Engineer.
- See one engineer's calls — tick the engineer under Engineer in the Calls list's filter rail, or use Show only this from the more button beside the name. See How to Filter Calls by Type, Status, Action Status and Engineer.
- See one customer's calls — pick the customer in the Customer section of the Calls list's filter rail. See How to Filter the Calls List by Customer.
How do I log a new call?
Select New Call on the Calls list, or Log a call on Home or on a customer's screen, fill in the call, and select Save call at the top right of the new call screen.
- Log a call — select New Call on the Calls list, pick the customer, type the Comment and Contact name, describe the problem in the Details document, and select Save call. See How to Log a New Call.
- Log a call for the customer you have open — select Log a call in the header of the customer screen; the new call starts with that customer chosen. See How to Log a Call for a Customer.
- Log a call straight into an engineer's free time — on the Scheduler, drag across free time on the engineer's row, fill in the Quick call card and select Create & schedule. See How to Log a Call from a Slot on the Scheduler.
How do I change, close or add a note to a call?
Change anything on the call screen where it stands, then select Save at the top right of the call screen or press Ctrl and S together (Ctrl+S). Your changes are written when you save, or when you press Done to book or change an engineer's visit on a saved call, which saves the call first.
- Save changes to a call — select Save at the top right of the call screen, or Save on the Unsaved changes bar at the bottom. See How to Save Changes to a Call.
- Close a call, or reopen one — select Status at the top of the call screen, choose the status you want, such as Closed or Open, and select Save. See How to Change a Call's Status.
- Add a dated note — select Note on the toolbar of the call's Details or Resolution document, type under the stamp, and save the call. See How to Write in the Details and Resolution Documents.
- See a call's history — select Actions in the call screen's sections rail. See How to Read the Actions on a Call.
How do I schedule, or assign, an engineer to a call?
Giving a call to an engineer is called scheduling in ABM Service: select Schedule engineer, pick the engineer and the time in the dialog, and press Done.
- Schedule an engineer from the call — select Schedule engineer at the top of the call screen, choose the engineer and the time under When, and press Done. See How to Schedule an Engineer for a Call.
- Schedule an engineer from the Calls list — choose To schedule under Which calls, then select Schedule engineer in the Engineer column of the call. See How to Schedule an Engineer from the Calls List.
- Book a waiting call into free time on the Scheduler — open To schedule on the Scheduler's toolbar, select the call's card, select a lit gap and then the tick beside the job. See How to Book a Waiting Call into Free Time on the Scheduler.
- Add a second engineer — select Schedule another engineer, the plus button beside the engineer pill at the top of the call screen, or Add engineer on the Scheduled visits card. See How to Schedule More Than One Engineer or Change a Visit.
How do I reschedule a visit or plan on the Scheduler?
On the Scheduler, drag an appointment to move it, or click it for its card; every change is saved at once, and Undo is offered for six seconds at the foot of the Scheduler.
- Move a visit to another time, day or engineer — drag the appointment on the Scheduler and let go, or on the call screen open the visit from the engineer pill and use Change this visit. See How to Move and Resize Appointments on the Scheduler.
- Give a visit to another engineer far down the list — click the appointment, select Change engineer on its card, choose the engineer and select Apply change. See What Does the Appointment Card on the Scheduler Show?.
- Look at next week or one day — use the arrows beside the date button, Today, and the Day, Work week, Week and Month buttons on the Scheduler's toolbar. See How to Choose the Dates and View on the Scheduler.
How do I find a customer or add a new one?
Use the search box on the Customers list to find one customer, and New Customer on the same toolbar to add one.
- Find a customer — type at least two characters of the code, name, address or Eircode into the search box on the Customers list and pick the customer; select Also search inactive accounts at the foot of the drop-down for closed accounts and prospects. - Add a new customer — select New Customer on the Customers list, type the Title, check the proposed Code, and select Save customer. See How to Create a New Customer.
- Find a new customer that is missing from the list — choose Prospect or All under Which accounts on the Customers list, because a new customer starts as a Prospect. See How to Choose Which Accounts the Customers List Shows.
How do I change a customer's details?
Open the customer, go to the section in the customer screen's sections rail, change it, and select Save at the top right of the customer screen; a contact is saved on its own with Save contact.
- Change a customer's address — open Address & location, type in the Mailing address card, and save the customer. See How to Set a Customer's Address and Location.
- Put a customer on the map — select Set location on the customer's Address & location section or on the Customers without a location page, move the map under the pin, and select Save location; on the Customers without a location page that saves it at once, while on Address & location you then select Save at the top right of the customer screen. How do I arrange a list or a screen the way I like it?
Right-click a column heading on the Calls or Customers list for its menu, keep the arrangement with the Layouts control at the top of the filter rail, and rearrange the call and customer screens with Customize this layout….
- Add or hide a column — right-click any column heading and choose Choose columns… or Hide column. See How to Choose and Arrange the Columns in a List.
- Sort or group the list — click a column heading to sort by it, or right-click it and choose Group by this column. See How to Sort and Group a List.
- Save the screen as a layout — open the Layouts control, choose Save as a new layout…, type a name and press Save; select its star to open on it. See How to Save and Use Layouts.
- Rearrange the call screen or customer Overview — select the arrow beside Details or Overview in the sections rail, choose Customize this layout…, and press Done when finished. See How to Customize the Call Screen and the Customer Overview.
How do I get back to unsaved work or to where I was?
ABM Service keeps what you typed when you leave a screen, with a reminder in the bottom-left corner of every screen, and Back returns a list as you left it, with the row you opened marked.
- Get back to something you did not save — select its reminder, marked unsaved, in the bottom-left corner of the screen. See What Happens to Unsaved Changes When You Leave a Screen.
- Go back to the list you came from — press Back, or the back arrow at the top left of the call or customer screen. See How to Go Back to Where You Were.
How do I use the ABM Service desktop app?
Open ABM Service Desktop from the Windows Start menu, or press an ABM Service button on the ABM toolbar; the desktop app then runs with a tray icon beside the clock.
- Sign in to the desktop app — open ABM Service Desktop from the Start menu, choose your name, type your ABM password, select Sign in and click the company. See How to Sign In to the ABM Service Desktop App.
- Install an update — save your work, then select Close my windows in the update window, or Install update on the tray icon. See How Updates Work in the ABM Service Desktop App.
- Close the desktop app completely — right-click the tray icon beside the clock and choose Exit. See Using the ABM Service Tray Icon.
How do I change what the Home screen counts?
Use the period pills and the Counting rules dropdowns at the top of Home; your counting rules are saved for you as you change them.
