How to Choose the Dates and View on the Scheduler

The Scheduler shows one window of dates at a time: a day, a working week, a whole week or a month. You change it with the date button and its arrows in the middle of the Scheduler's toolbar, and with the view buttons Day, Work week, Week and Month beside them.

How do I look at a different week on the Scheduler?​

Use the arrows either side of the date button in the Scheduler's toolbar: Previous date window goes back and Next date window goes forward. Each press moves by one day in the Day view, one week in the Work week and Week views, and one month in the Month view.

  1. Open the Scheduler from the menu.
  2. Select the right-hand arrow beside the date button to go forward, or the left-hand arrow to go back.
  3. Select Today, beside the date button, to come back to the dates that hold today.

The date button always says which dates you are looking at. It reads Due, then the view, then the dates — for example "Work week" followed by the Monday and Friday dates, or the month and year in the Month view. Due is a reminder that the board places each visit by its due date.

Today is greyed out while today is already on the board. On a Saturday or Sunday in the Work week view, Today brings back Monday to Friday of this week, which does not include today. Every change of dates reads the board again, clears the appointment you had selected, and takes you back to the top of the engineer list.

How do I switch between the Day, Week and Month views?​

Select Day, Work week, Week or Month in the Scheduler's toolbar. The view you pick sets how many days the board shows around the date you are on.

  • Day — one day.
  • Work week — Monday to Friday of the week. This is what the Scheduler opens on when you have not chosen otherwise.
  • Week — Monday to Sunday, with Saturday and Sunday shaded.
  • Month — every day of the calendar month, one column per day with no hours in it.

When the toolbar is crowded, for example with several filter chips showing, the four view buttons fold into one button that shows the current view. Select it to open a short menu of the four views and choose one. The buttons come back when there is room again.

You can also switch views from the By date panel that opens from the Scheduler's date button, which has the same four views at its top.

How do I jump to a particular date on the Scheduler?​

Select the date button in the middle of the Scheduler's toolbar to open the By date panel, type or pick the date under Go to date, then select Go. The board moves to the day, week or month that holds that date, in the view you are using.

  1. Select the date button, the one that starts with Due.
  2. Choose a view from the four buttons at the top of the panel if you want a different one: Day, Work week, Week or Month.
  3. Type or pick a date in the Go to date box.
  4. Select Go.

The panel says When the work is due. under its heading, and at its foot it shows the dates the board is now on. Picking a view keeps the panel open, so you can see the dates change before you close it. Go closes the panel. To close it without going anywhere, select Close, press Escape, or click anywhere outside it.

What is different in the Month view of the Scheduler?​

In the Month view each day of the month is one column with no hours in it, so the Scheduler shows which days each engineer is busy rather than what time. Visits whose times overlap are stacked in the engineer's row for that day; two visits on the same day that do not overlap are drawn in the same place, so the later one covers the earlier. Switch to the Day or Week view to see a busy day's visits side by side.

Because there are no hours:

  • You can drag a visit to another day or another engineer. Moved to another engineer on the same day it keeps its time exactly; moved to another day it keeps its time of day, rounded to the nearest line of your Cell duration.
  • Change a visit's time or length in a day or week view, where you can see the hours you are aiming at.
  • You cannot mark out a free slot to log a new call; switch to a day or a week view to do that.
  • Free time is not shown while you are placing a call from the To schedule column. The board says Free time is not shown in the Month view — switch to a week or a day to book this call.

The Month view is also the way to see visits that fall outside your working day hours, which the day and week views leave out.

What dates does the Scheduler open on?​

The Scheduler always opens on the dates that hold today, scrolled so today's column is in view. The exception is Saturday and Sunday in the Work week view, which shows Monday to Friday of the week and so has no column for today; choose Day, Week or Month to see a weekend day. Your saved layout, or the last way you arranged the board, decides the view — Day, Work week, Week or Month — along with your filters and settings, but never the date. This means that whichever layout you open, you start on this week or this month rather than on a date saved long ago.

The one exception is coming back with Back. If you open a call or a customer from the Scheduler and then go Back, the board returns to the dates you were looking at, with your filters, and brings the appointment you had selected back into view.

If you would like the board to open on a particular view every time, arrange it that way, save it as a layout from the Layouts control at the top of the filter rail, and put the star (★) on that layout so the Scheduler opens on it. With the star on Last Used Layout, which is where it starts, the Scheduler opens on the view you used last.
