How to Page Through a List and Use the Keyboard
The Calls list and the Customers list show their rows one page at a time. The pager along the bottom of the list chooses how many rows a page holds and moves between pages, and the whole list can be worked from the keyboard: moving between rows, opening one, turning pages and reaching the column menus.
How do I move between pages and show more rows on a page?
Use the pager along the bottom of the list: press Next page or Previous page, or click a page number. The words beside the page buttons say how many rows there are and where you are, for example "120 customers — page 1 of 5".
The first and last page numbers are always shown, with the five pages around the one you are on; a "…" marks the pages skipped in between. On the Calls list the count names what a row is, depending on Which calls you are looking at: "calls & scheduled visits" for All, "calls to schedule" for To schedule, and "scheduled visits" for Scheduled, because a call with two scheduled visits shows as two rows.
To show more or fewer rows on each page, press 10, 25, 50 or 100 at the left of the pager at the bottom of the list. Both lists open at 25 rows a page. Changing the number of rows takes you back to page 1, and it is saved in a layout.
Why did the list jump back to page 1?
The list goes back to page 1 whenever you ask it a different question or put it in a different order, because page 3 of a new question holds rows nobody asked for. That happens when you:
- sort by a column, or use Clear sorting;
- group or ungroup, or reverse a grouping;
- change the number of rows per page;
- add, change or remove a filter in the rail, a column funnel or a chip.
A new question also lets go of the row you had marked. Adding, hiding or moving columns, pressing Refresh, and turning a page are not new questions: you stay on the page you were reading, and your marked row stays marked while it is still on the page. The one exception is hiding a column the list is grouped by, which removes that grouping too and so goes back to page 1.
How do I select and open a row?
Click a row to mark it; it is highlighted so you can find your place again. Double-click the row to open it, or click its link (the call number on the Calls list; the customer's name or code on the Customers list). A single click never opens a row.
Every way of leaving through a row marks it, including its links and its buttons, so when you come back with Back the list returns with that row highlighted and in view.
A list marks one row at a time. There is no way to tick several rows on the Calls list or the Customers list and change them together, so there is no bulk close, bulk status change or bulk reassign. To work through many rows, narrow the list with the filter rail until it holds just the rows you need, then open each one, change it and save it; Back brings you to the list as you left it, with the row you opened marked.
Which keys work in a list?
Once you have clicked a row, or pressed Tab until the list itself is selected, these keys work on the rows:
- Down Arrow and Up Arrow — the next or previous row. They stop at the first and last row of the page and never turn the page by accident.
- Home and End — the first or last row of the page.
- Enter — opens the marked row.
- Page Down and Page Up — the next or previous page. The first row of the new page is marked.
- Ctrl and Page Down together (Ctrl+Page Down) and Ctrl+Page Up — the last or first page, when the list receives them. In a web browser such as Chrome or Edge these two keys switch between browser tabs, and the browser acts on them before the list sees them, so there they move you to another tab instead. To reach the last or first page in a browser, click the last or first page number in the pager at the bottom of the list; both are always shown.
How do I use the column headings from the keyboard?
Press Tab to reach the column headings, then use the Left Arrow and Right Arrow keys to move between them. Press Enter or Space to sort by the selected heading. Press the Menu key, or Shift and F10 together (Shift+F10), to open the heading's menu, which is the same menu a right-click opens.
In the menu, the Up Arrow and Down Arrow keys move between items, Home and End go to the first and last item, Enter chooses one, and Escape or Tab closes the menu.
What do the loading bar, the error and "No calls match" mean?
A thin bar moving under the column headings means the rows are on their way; the rows you had stay on screen until the new ones arrive.
If the rows cannot be loaded, a message appears above the list, "The calls could not be loaded:" or "The customers could not be loaded:" followed by the reason. The rows already on screen stay. Press Refresh on the toolbar to try again.
"No calls match" on the Calls list, or "No customers match" on the Customers list, means the filters in force leave nothing to show. Look at the chips on the filter line above the list to see what is filtering, and remove one or press Clear all filters.
When a search typed in Search calls finds nothing, the Calls list says so in its own words, naming the search, for example that no calls in this date window match it. If the date window is shorter than a year, a Search the last 12 months button follows, which widens the window and searches again.
