How to Filter the Calls List by Customer
The Calls list can show the calls of one customer at a time. Pick the customer in the Customer section of the filter rail, or from the filter button on the Customer or Customer code column heading; both set the same filter. While it is on, a line above the calls says which customer the screen is showing, and New Call logs a call for that customer.
How do I show only one customer's calls?
Type the beginning of the customer's code, or part of their name or address, into the box in the Customer section of the Calls list's filter rail, then pick the customer from the list that appears. The Calls list changes as soon as you pick.
- Open Calls from the navigation menu.
- Type at least two characters into the box in the Customer section of the filter rail, between By Date and Call Type. It says "Search by code, name or address".
- Pick the customer from the list under the box, by clicking it or with the arrow keys and Enter.
The list of matches puts customers whose code matches first, then name, then address, then postcode (Eircode in Ireland), and a small word beside each match says which of those it matched on. A customer's code and postcode match only from their first character, so type the start of the code, not its end; a name or address matches anywhere in it. Only active customers are offered; inactive accounts and prospects (accounts that are not customers yet) are left out of the search.
The same filter can be set from the column headings: select the filter button on the Customer heading or the Customer code heading, and a search box opens, ready to type in. It says "Picking one shows only that customer's calls, and applies at once. The rail's Customer block is the same filter." Picking there fills in the rail's Customer section too.
The customer filter works with every other filter: the date window, Which calls, the call types and statuses, and the search all still apply to that customer's calls.
How can I tell that the Calls list is showing only one customer?
The Calls list says so in three places once a customer is picked:
- In the filter rail — the Customer section shows a card with the customer's name, code and the first line of their address, and "Only this customer's calls. Type below to pick another." The box under the card says "Change customer…".
- On the toolbar — a Customer chip names the customer.
- Above the calls — a line reads "One customer:", then the customer's name, then "— a new call from this screen is logged for them." with a Show every customer button at its end.
The customer's name on the card and on the line above the calls is a link that opens the customer's screen. The chip's name reopens the customer search to pick someone else, and the small open-in-new button beside it opens the customer in a new tab (a new window in the desktop app). The Customer and Customer code column headings both show their filter button as on.
How do I go back to every customer's calls?
Press Show every customer on the line above the Calls list. Any of these does the same:
- The × on the customer card in the Customer section of the filter rail, or Clear on that section's heading.
- The × on the Customer chip on the toolbar.
- Clear all filters on the toolbar, which also removes every other filter apart from the date window and Which calls.
- Clear filter in the menu of the Customer or Customer code column filter.
The line above the calls disappears and New Call goes back to opening a blank call.
What happens when I press New Call while the list shows one customer?
New Call on the Calls list opens the new call already filled in for that customer, so you do not have to search for them again. Hovering New Call names the customer's code and name. The line above the calls says the same: a new call from this screen is logged for them.
The new call starts with the customer's name, code and the first line of their address. It does not fill in a contact's name, phone number or email from the customer: fill those in on the new call.
You can still pick a different customer on the new call before saving it. When the list is not filtered to one customer, New Call opens a blank call.
How do I see the calls billed to one customer?
Add the Invoice to or Invoice to code column to the Calls list from Choose columns… in any column heading's menu, then use the filter button on that column's heading to pick the customer. The list then shows only the calls invoiced to that customer.
Invoice to is a separate filter from Customer: Customer is whose site the call is for, and Invoice to is who the call is billed to. You can use both at once, and each narrows the other. The filter's search box says that picking one shows only the calls invoiced to that customer and applies at once, and that the customer whose site it is stays as it was.
Invoice to has no section in the filter rail. It shows as an Invoice to chip on the toolbar, which is where you change it or take it off with its ×; the small open-in-new button beside the chip's name opens that customer in a new tab, or a new window in the ABM Service desktop app. It does not change who New Call logs a call for.
In the Invoice to column itself, each name is a link that opens that customer's screen.
Why can't I find a customer in the Calls list's customer search?
The customer search on the Calls list offers only active customers, and it starts searching after two characters. If a customer does not appear:
- Check the account is active. Inactive accounts and prospects are not offered in this search. Their past calls still appear on the Calls list when the filter is off, and the customer's own screen, found on the Customers list under Which accounts, shows its calls too.
- Try the start of the code, or part of the address. The search matches the customer's code, name, address and postcode, so a street name or town often finds a customer whose name you are unsure of.
- Type at least two characters. Nothing is searched for below that.
If the list under the box says "No active customer matches.", nothing active matched what you typed.
