How to Tell the AI How to Fill In a Call Field

Each field on the Call fields tab of the AI context screen can have its own instructions for Fill in with AI: how to choose a value, whether to touch a field the operator has already filled, and, for a drop-down, what each choice means. Open the menu, choose AI context under Administration, choose the Call fields tab, and press Open on the field's line.

How do I give Fill in with AI instructions for one call field?​

On the Call fields tab of the AI context screen, press Open on the field's line, write in How to choose, and press Save.

  1. Open the menu and choose AI context under Administration, then the Call fields tab.
  2. Press Open on the field's line.
  3. Type in How to choose.
  4. Choose Propose a change or Leave it alone under When the operator has already filled it.
  5. Press Save.

The screen says "Saved how the AI treats" and the field's name, and goes back to the list, where the line now shows Has instructions and the start of what you wrote.

The editor's heading is the field's name, with a line saying whether it is "On every call" or "A custom field on your calls", what kind of field it is, and when it was last saved. The hint under How to choose says: "Write it the way you would tell a new operator. The AI reads exactly this, after the Company tab." It can be up to 2,000 characters, with a counter under the box. Without instructions, the AI goes by the field's name.

The switch at the top of the editor, The AI proposes this field, is the same as the one on the list and is "Saved as you switch it." It is separate from Save: switching it never saves or loses what you are typing, and Cancel does not undo it.

What does When the operator has already filled it mean?​

When the operator has already filled it, in a field's editor on the Call fields tab of the AI context screen, decides what Fill in with AI does with a field the operator typed something in before pressing it:

  • Propose a change — the AI may propose a different value, which the operator sees beside what they typed and can accept or not. Every field starts this way.
  • Leave it alone — the AI proposes something only when the field is empty. The field's line on the list then shows only when empty.

Leave it alone suits a field your staff fill in from what only they know, for example a reference they look up. Nothing Fill in with AI proposes changes a call until the operator applies it.

How do I tell the AI what each drop-down choice means?​

For a drop-down field, the editor on the Call fields tab of the AI context screen has a box for each choice under What each choice means — optional; leave a line blank when the name says it all. Type a line beside any choice whose name alone does not say when to pick it, and press Save.

Each meaning can be up to 300 characters. Over that, the box shows how many characters it has out of 300, followed by "— shorten it before saving", and Save is refused with a sentence saying how long that choice's meaning is and that "the most a choice's meaning can be is 300." A blank line means no meaning. The field's line on the list counts how many choices have one, such as "1 meaning".

If a choice is removed in ABM, or a custom field's choice is renamed, its meaning is no longer shown or used.

The Type field has no editor here: the meaning of each call type is written on the Call types tab of the same screen, and Call types › on the Type line goes there.

How do I change how Fill in with AI lays out the Details?​

Press Open on the Details line of the Call fields tab of the AI context screen. Instead of choosing a value, the AI lays the operator's details out under headings, and this editor decides how.

  • How to lay out the details — "The headings the AI lays the details out under, in order, and anything else about the layout. Every fact is kept, and nothing is invented. Left empty, the AI uses its own neutral headings." It starts filled in with "Headings, in this order: Summary, What was reported, What is asked, Access and contacts, Other notes." Change the headings to suit your company and press Save.
  • Keep it underneath the new layout, under “Original notes”, under What the operator typed — when ticked, the operator's own text is kept below the laid-out version. "Where each new call starts. The operator can untick it on the call, every time."
  • The AI lays the details out — the switch for whether Fill in with AI lays the details out at all.

The Details line on the list shows the start of your headings, or "No headings of its own: the AI lays it out under its usual neutral ones." when the box is empty.

What happens to my changes if I leave a call field's editor?​

A call field's editor on the AI context screen keeps what you typed until you press Save. Leaving it by ← All call fields, by another tab or by Cancel with changes not saved asks first, for example "How the AI treats Comment has changes that are not saved." Keep editing stays; Discard throws them away.

Leaving by the ABM Service menu asks nothing and loses nothing: a chip such as "AI context — Comment (call field)" brings you back to the editor with your typing. If you go on typing while a save is still being made, the screen says "Saved what was sent. What you typed since is not saved yet."; press Save again.

Over 2,000 characters in How to choose, Save is refused with "The instructions for" the field "are" so many "characters long; the most a field can hold is 2,000.", and nothing you typed is lost.
